This Privacy Notice provides you, the job candidate, with details on our privacy practices regarding the collection and use of your Personal Data for our recruitment and hiring purposes. We are committed to being transparent about how we collect and use your personal data. What Personal Data do we collect and why do we process Personal Data?

As part of our recruitment and hiring process, we collect and obtain your information to determine your eligibility and qualification for the role you applied for and to match you with a suitable role if you submitted a general job application. By submitting your resume/CV and/or job application to us, we may have access to your Personal Data such as contact information (e.g., name, phone number, and email address), previous employment information, education, training, and other details you provide to us in support of your resume, job application and the recruitment process. We may also collect health-related information to accommodate to any special needs (e.g., providing accommodations for candidates with disability).

If we determine you are a successful candidate, we will collect additional Personal Data from you to complete the recruitment and hiring process. Personal Data we collect and obtain includes citizenship and nationality information, previous employment verification, and background check details (where applicable).

Guidewire collects your Personal Data in various ways. Your Personal Data may be obtained from your resume/CV, job application, background check (where applicable) and collected through interviews and assessments associated to the interviewing process.

We may also collect Personal Data about you from third parties as part of the recruitment process. These third parties include former employers and government agencies. 

In general, we process your Personal Data for the following reasons:

  • To coordinate and conduct interviews.

  • To respond to your inquiries.

  • To complete a background check (where applicable).

  • To determine your eligibility and qualifications for the role you applied for.

  • To take steps at your request prior to entering into a contract with you.

  • To comply with legal obligations (e.g., local employment laws).

  • To enhance and improve our recruitment process.

Who do we share your Personal Data with?

Your Personal Data will be shared internally with members of the HR and recruitment team, the hiring manager, and other members who are involved in the interviewing process. We will only make relevant personal data available internally on a need to know basis.

We also share your Personal Data with third parties to manage, facilitate and complete the recruitment and application process. For example, where applicable, we use a third party service provider to help us conduct background checks and employment verification. We, or through our service providers, may share your Personal Data to conduct reference checks with your former employers or individuals you put down as a reference in your job application. Such disclosures are necessary to finalize the hiring process and these service providers are authorized to use your Personal Data only as necessary to provide specific services to us. 

How long do we keep your Personal Data for?

If you applied for a specific role and we determined you are not the right fit for the role in which you applied for, Guidewire will retain your Personal Data on file in case there are future employment opportunities for which you may be suited. 

If your employment application is successful and you become an employee of Guidewire, we will provide you with a new privacy notice to inform you of how we handle our employee Personal Data.

We will retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

How can I access my Personal Data and exercise my rights?

You can access, correct, and delete your Personal Data by contacting us at HRDataRequest@guidewire.com.  In some jurisdictions and in certain instances, you have the right to object to and restrict the processing of your Personal Data as well as erase and request for your Personal Data to be transferred to another entity. You also have the right to withdraw your consent to our processing of your Personal Data if such processing was done based on your consent. We may ask you to verify your identity prior to responding to your request.

You may also have the right to file a complaint with the appropriate data protection authority or supervisory authority if you have concerns about how we handle your personal data.  We kindly ask you reach out to us first at HRDataRequest@guidewire.com so we can address your concerns.

Where do we transfer your Personal Data to?

We may transfer your personal data outside of the country where you reside (e.g., United States) in order to complete the recruitment and application process.

Does the recruitment process include automated decision-making?

Our recruitment and hiring processes are not based solely on automated decision-making.

What if you do not provide Personal Data?

You are not required to provide any Personal Data to us. If you do not provide your Personal Data, we may not be able to process your application properly or at all. You are under no statutory or contractual obligation to provide data to Guidewire during the recruitment process.
